Job Summary:

As Project Management Coordinator, you will assist and support the client services team by carrying out a number of administration/project management tasks where required. You will be servicing the Company’s clients and in time you will be learning the design and artworking processes, in order to efficiently assist in making sure projects and tasks are delivered on time.

If at Executive or Manager level you will have experience in running projects preferably in a creative environment. You will understand the commercial importance of running a project to budget and are able to hit deadlines whilst managing your own workload. By liaising between the client and the company’s internal design, artwork and production teams you will ensure projects are delivered smoothly and be accountable for building, developing and maintaining important client relationships.

Excellent communication skills are required in order to liaise with clients and suppliers internationally. Any European language skills are advantageous.

Overall Responsibility:

  • To either assist or be responsible for the administration and running of accounts/projects and for maintaining long-standing client relationships as well as building and maintaining strong internal relationships across the company.
  • To assist or own and manage entire projects from taking the initial brief from the client to obtaining approval to release the project to the client, working closely with the internal Design and Artwork teams to facilitate the production of packaging for our clients.
  • To assist or be responsible for ensuring projects are completed to the highest standard and to deadline. Managing conflicting deadlines to ensure changing priorities are recognised and planned for accordingly.
  • Communicate with clients professionally, building client relationships to inspire trust and confidence in the Company.
  • Maintain excellent standards of spoken and written communication.
  • To assist/attend and effectively communicate client briefs to the Design and Artwork departments to ensure work is produced to client specification first time.
  • To assist or manage the accuracy and precision of all work by continuously checking all details against the client brief, brand guidelines and/or style guides.
  • Under guidance or manage the liaison with the Studio Manager, Design and Artwork departments, giving adequate notice for jobs to be scheduled for production.
  • Assist/learn and/or understand, question and challenge client briefings.
  • Assist/learn and/or write briefings for internal design, photoshoot and digital artwork projects.
  • Assist or managing the brief to the design or artwork team on individual projects.
  • Effectively manage the timing and execution of the internal design and artwork process.
  • Assist and/or organise photoshoots, get quotations, book photographers and home economists, organise/source product samples, write photo briefings etc.
  • Proof-read your designs and artworks.
  • Assist and/or ensure that your projects comply with all current client design and artwork guidelines.
  • Keep full track of all your live projects or tasks and be able to give a full account of the status of each project or tasks at any given time.
  • Manage client expectations and make sure that all deadlines are met.
  • To advise and assist other members of the Client Services department as required.
  • As manager be responsible and accountable for complete budgets of all projects.
  • Assist and/or ensure all projects are invoiced promptly and within company timelines.

Job Skills and Qualifications:

  • To have at least one years’ strong administration experience for coordinator level.
  • 2+ years of account/project management experience if at manager level.
  • To have project experience in the creative/branding industry is advantageous.
  • FMCG packaging/working within a print and design environment is desired.
  • To be at A-Level standard in German (speaking and writing) is advantageous, or any other European language.
  • If at Coordinator level advanced in Excel and managing spreadsheets is essential.
  • Demonstration of ability to build strong working relationships.
  • You will have experience in other MS Office packages (Outlook/Word).
  • You will be able to balance and own your own workload.
  • You will be flexible and able to co-ordinate multiple projects in a fast-paced environment.
  • If Manager level, experience of dealing with clients with high expectations within a pressured environment delivering to tight deadlines is essential and the ability to manage the commerciality of projects to make sure they are profitable and delivered to time scale.
